Privacy policy
Effective October 3, 2026
Short version: we collect what we need to run Faxpresso, we use your faxes only to deliver them to you, we don't sell your information, and you can delete it whenever you like.
Faxpresso hasn't opened yet. Until it does, we only hold waitlist sign-ups and site diagnostics. The parts about accounts, faxes and payments apply once you create an account.
1. Who we are
Faxpresso is a service of DYKOS Media Inc, 1957 E 29th St, Brooklyn, NY, USA ("we", "us"). We're responsible for the personal information described in this policy. It covers faxpresso.com, the Faxpresso iPhone and Android apps, and the emails we send.
2. What we collect
When you sign in
Faxpresso doesn't use passwords. You sign in with your Google, Microsoft or Apple account, a passkey, or a one-time code we send to your email or mobile phone.
- Google, Microsoft or Apple: that company tells us your name, email address and an account ID that identifies you to us. We don't receive your password for that account, and we don't get access to your email, files or contacts there. If you use Apple's "Hide My Email", we receive a private relay address instead of your real one.
- Passkeys: your phone, computer or password manager keeps the private part of the passkey. We store only the public part, which can't be used to sign in on its own, plus a name for the device.
- Sign-in codes by email or text message: we use your email address or mobile number to send you a short code that works once, for a few minutes. We store the code only in scrambled form until it's used or expires.
Information you give us
- Account details: your name and email address, and optionally your business name and mobile number. If you choose text-message sign-in, your mobile number is required for that.
- Billing details: your billing name and address. Your card is entered directly with our payment provider, Square. We receive only the card type, last four digits and expiry date, never the full card number.
- Faxes you send: the documents you upload or scan, cover page details, and the numbers you send to.
- Contacts and settings: fax contacts you save, email addresses for fax delivery, your spam and safe lists, and other settings.
- Moving a number to us: your current provider's account name, address, account number, PIN, the authorised person's name, and a copy of a recent bill. Your provider requires these to approve the move.
- Waitlist sign-ups: your email address, and the area code and "keep my number" choice if you give them.
- Messages to us: emails you send, and our replies.
Information created when you use Faxpresso
- Faxes you receive: the fax itself, the sending number and any name it shows, and the time.
- Fax records: for each fax, the numbers, time, page count, delivery status, and whether the filter marked it as junk.
- Usage and billing records: pages used each month, invoices and payments.
- Sign-in and security records: when and from where you sign in (IP address, browser or device type), which sign-in method you used, and security events such as a new passkey being added.
- App and site diagnostics: errors, which screens or pages load, app version, device model and operating system. In site diagnostics your IP address is stored only in scrambled (hashed) form.
- Notification tokens: if you allow notifications in the app, a token from Apple or Google that lets us send them to your device.
Things that stay on your device
- Camera: the app uses your camera only when you scan a document. Scans stay on your phone unless you send them as a fax.
- Phone contacts: if you allow it, the app can show your phone's contacts so you can pick a fax number. We don't upload your address book; only numbers you send faxes to are saved in your fax records.
- Face ID, Touch ID, fingerprint and passkeys: handled entirely by your device. We never receive biometric data or your passkey's private key.
3. How we use it
- To provide Faxpresso: to send and receive your faxes, deliver them to your account, app and email, show their status, and keep your fax history.
- To sign you in and keep your account secure.
- To manage your account and billing: to charge your plan, send receipts, track pages for fair use, and handle cancellation and deletion.
- To move your number to or from Faxpresso.
- To filter junk faxes, if you leave the filter on (see section 4).
- To keep Faxpresso safe: to stop fraud and junk-fax senders, and enforce our terms and acceptable use policy.
- To fix and improve the service, using diagnostics and support conversations.
- To talk to you: service emails, replies to your questions, and, only if you agree, news about Faxpresso.
- To meet legal obligations, such as tax records and responding to valid legal requests.
We don't use your information for advertising, and we don't build advertising profiles.
4. Your faxes
- We use the contents of your faxes only to deliver them, show them to you, email them where you've asked, and run the junk-fax filter. We don't read them for any other reason.
- The junk-fax filter uses automated software, including AI, to decide whether an incoming fax looks like junk. It runs on systems we control or that service providers run for us under contract. We don't allow your faxes to be used to train AI models for anyone else. You can turn the filter off in Settings.
- Our staff look at a fax or your account only when you ask for help, when we're investigating abuse or a security problem, or when the law requires it. Staff access is logged.
- Faxes often contain information about other people, such as the person who sent you a fax. We handle that information for you, as part of providing your fax service, and protect it the same way.
- Faxpresso isn't designed for patient health information (PHI) and isn't covered by HIPAA. Please don't use it for PHI.
5. Who we share it with
We don't sell your personal information, and we don't share it for targeted advertising. We share it only in these cases:
- Service providers who run parts of Faxpresso for us:
- telephone carriers and fax network providers, who carry your faxes, provide your numbers and deliver sign-in text messages;
- Square, which processes payments;
- hosting, email delivery and Cloudflare, which keep the service running and protect it;
- Apple and Google, which deliver app notifications.
- Sign-in providers: when you sign in with Google, Microsoft or Apple, that company knows you used it to sign in to Faxpresso. Their own privacy policies apply to what they do.
- The other end of a fax: when you send a fax, the recipient gets what you send, including your cover page and your fax number.
- Moving your number: your current or new phone provider, to complete the move.
- Legal reasons: if the law, a court order or other valid legal process requires it, or to protect people from harm. Unless the law forbids it, we'll tell you before we hand over your information.
- If the business changes hands: if Faxpresso is sold or merged, your information may pass to the new owner, who must keep honouring this policy. We'll tell you if that happens.
- With your permission, in any other case.
Your information is stored and processed in the United States.
6. How long we keep it
| Information | How long |
|---|---|
| Faxes (sent and received) | 1 year, or until you delete them |
| Account details, sign-in links, passkeys, contacts and settings | While your account is open, then up to 30 days after cancelling (or straight away if you delete your account) |
| Number-moving details and bill copies | Until the move is finished, then 90 days |
| Invoices and payment records | 7 years, because tax law requires it |
| Sign-in and security records | 1 year |
| App and site diagnostics | 60 days |
| Waitlist sign-ups | Until 12 months after launch, or until you unsubscribe or ask us to delete them |
| Backups | Overwritten within 30 days |
7. How we protect it
Faxpresso has no passwords to steal or guess: you sign in with Google, Microsoft, Apple, a passkey, or a one-time code sent to your email or phone. Sign-in codes expire after a few minutes and stop working after a few wrong tries. We use encrypted connections (HTTPS and TLS) for the website, the apps and our emails; tie every fax to its account; limit and log staff access; and alert you when a new device or passkey is added to your account. Between our service and the other fax machine, a fax travels over the public phone network, like any fax. No system is perfectly secure, but if a breach affecting your information ever happens, we'll tell you as the law requires. More on our security page.
8. Your choices and rights
- See and download your information: your faxes, contacts and settings are in your account, and you can download all your faxes as a ZIP. Ask us for anything else we hold.
- Correct it: update your details in Settings, or ask us.
- Manage sign-in: add or remove passkeys, linked Google, Microsoft or Apple accounts, and your sign-in phone number in Settings. You can also remove Faxpresso's access from your Google, Microsoft or Apple account settings.
- Delete it: delete individual faxes at any time, or delete your whole account in Settings, in the app or on the web. Anyone can also request deletion without signing in at faxpresso.com/delete-account. We keep only the records the law requires (see section 6).
- Turn things off: the junk-fax filter, email delivery of faxes, app notifications, and news emails.
To ask for any of these, email [email protected] from the address on your account. We may need to confirm it's you. We'll reply within 30 days, or sooner if the law requires. If we turn down a request, we'll explain why, and you can ask us to look at it again by replying to that email.
US state privacy rights. If you live in California or another state with a consumer privacy law, you have the rights that law gives you, including to know, access, correct and delete your personal information, and not to be treated differently for using them. We don't sell or share personal information, as those laws define it, and we don't use sensitive information except to provide the service. You can use an authorised agent to make a request; we'll ask them for proof that you authorised them.
9. Cookies
We use only the cookies Faxpresso needs to work, such as the one that keeps you signed in and one that protects forms from forgery. We don't use advertising or tracking cookies, and no third-party trackers run on our site or apps. The site loads fonts from Google Fonts, which receives your IP address in order to send the font files.
10. Emails and notifications
- Service emails and texts (sign-in codes, received faxes if you've asked for them, delivery confirmations, receipts, page-use alerts, security alerts and important notices) are part of the service, so they continue while you have an account. You choose which fax delivery emails you get.
- News and offers are sent only if you agree, and every one has an unsubscribe link.
- App notifications can be turned off in the app or in your phone's settings.
11. Children
Faxpresso is for businesses and adults. You must be 18 to create an account. We don't knowingly collect information from children under 13. If you think a child has given us information, email us and we'll delete it.
12. Changes
If we change this policy, we'll update the date at the top. If the change is important, we'll email you at least 30 days before it takes effect.
